The Information We Collect

This notice applies to all information collected or submitted on the RPS website (www.123shoot.com), including but not limited to webinar and other event registrations, newsletter registrations, and requests for information on our products and services. The types of information we collect may include, but are not limited to, names (individual and business names), physical/mailing addresses, email addresses, and phone numbers.

The Way We Use the Information We Collect

We use the information you provide about yourself through our website to contact you regarding the specific reason you submitted your information, such as to send webinar and event announcements, to send our newsletter, and to respond to your request for additional information on our products and services. We do not share this information with outside parties except to the extent to which it is required by law for the protection of our legal rights.

Complianz

We use Complianz, a cookie consent management platform, to record and remember your cookie preferences. This tool places a strictly necessary/functional cookie on your device to store your consent choices so that we can comply with applicable privacy laws (such as GDPR and/or CCPA) and avoid asking for your consent repeatedly. Analytics + Visitor Tracking

Google Analytics
The RPS website (www.123shoot.com), uses Google Analytics to collect standard internet log information as well as details regarding visitor behavior patterns. We use this to learn facts about our website, such as the number of visitors to particular pages, the content they are reading, and where they are spending time on our website. The information collected is always processed in a way that will not identify visitors. We do not make attempts to discover the identities of our website visitors, nor do we allow Google to attempt to learn the identities of our website visitors.

Data is not collected until you consent to the statistics cookies using the Manage Consent banner located in the bottom-right corner of this site. If you have previously consented and later wish to withdraw consent, you may do so by clicking Manage Consent in the bottom-right corner of the website to update your preferences. If you withdraw your consent, data collection will cease.

HotJar
We use HotJar to better understand how users interact with our website through heatmaps and session recordings. Heatmaps show us aggregated information about where users click, scroll, and spend time on our pages, while session recordings allow us to review anonymized playbacks of user sessions to identify usability issues and improve the user experience. This runs only after you accept the statistics cookies through the Manage Consent banner at the bottom-right corner of this website. If you have previously opted to consent and later wish to withdraw consent, you may so so at anytime by clicking Manage Consent in the bottom-right corner of the website. If you withdraw consent, affected tags will stop collecting data moving forward. 

HotJar may collect data such as your device’s screen size, device type, browser information, approximate geographic location (country), and pages visited during your session. This information is stored in a pseudonymized user profile, and HotJar is prohibited from selling any data collected on our behalf.

Sourcebuster JS
We use Sourcebuster to track which source or campaign brought visitors to our site, such as search engines or ad links, to better understand our marketing. This runs only after you accept the statistics cookies through the Manage Consent banner at the bottom-right corner of this website. If you withdraw consent, affected tags will stop collecting data moving forward. 

This information is stored in first-party cookies on your device so that we can attribute conversions and interactions to the correct marketing channel. Because it runs locally on this website’s server and not as an external SaaS or third-party service, it does not inherently collect data or transmit data to third-party operators.

Forms + Spam Protection

Google reCAPTCHA
We use reCAPTCHA to protect our forms from spam and abuse. It collects device and usage information and may set cookies. Data may be transferred to the US. By using any forms on this site, you agree to Google’s Privacy Policy and Terms of Service.

Gravity Forms
We use Gravity Forms to build our contact forms on this site. When you submit a form, we collect the information you enter, such as your name, email address and message, so we can respond to you. For more information, please see the Gravity Forms privacy policy. 

Online Store + Payments

Online Store
Our online store runs on WooCommerce. It uses cookies to remember your cart and recently viewed items, and when you place an order we collect your name, contact details and billing/shipping address to fulfill it. For more information, see the WooCommerce privacy policy.

Payment Processing
We collect payments through WooCommerce for monthly online subscriptions, ACH Bank Transfer via Stripe, and ACH Auto-Draft via GoCardless. We will never share your payment information with any outside parties for marketing purposes and have put the proper measures into place for making online payments securely. Chat, Support, Email Marketing + CRM

Mailing Lists + Campaign Monitor

We collect personal information when you register to receive email communication (newsletters, announcements, etc.) from RPS. We use the information collected for multiple reasons, such as to answer questions you have asked us; to contact you if we need to obtain or provide additional info; to confirm our records are correct; and to check in once in a while to make sure you’re happy and satisfied. We do not, and never will, sell, rent, or trade our email lists with other organizations or businesses.

We use Campaign Monitor to deliver newsletters and other email communication. Through this platform, we gather information regarding email open rates and clicks using industry-standard technologies, which help us monitor and improve our newsletters to help us deliver content you want to read. Monday.com – Project Management + CRM
We use Monday.com as our project management software and CRM. When you interact with us (submit an inquiry, sign a contract, or become a client), information such as your name, email address, phone number, company name, and details related to your projects, may be stored and processed in Monday.com to help us manage our relationship with you, track your projects, and communicate effectively.

HelpScout
We use HelpScout to manage support inquiries and chat. It collects the contact details and message content you provide when you reach out. For more information, please see the HelpScout privacy policy. 

Website Security + Accessibility

WordFence
We use WordFence for website security. It may log IP addresses and set a necessary cookie to protect the site from malicious activity. For more information, see the WordFence privacy policy. 

accessiBe

We use accessiBe, a third-party accessibility tool, to help improve the usability of our website for users with disabilities and other needs, and to ensure the site is both ADA and EAA compliant. This tool may set cookies and use local/session storage to remember your accessibility preferences, and may collect technical information such as your IP address, browser type, and interactions with the widget. This information is processed by accessiBe in accordance with its own privacy notice. You can disable the widget’s cookies through your browser settings at any time. Additional Tools We Use

Google Suite
We use tools and features from the Google Suite, such as Calendar, Drive, Docs, Forms, Slides and Sheets, to invite you to meetings, for content collection and collaboration, to build surveys and more. We will always make any pieces we are collaborating on accessible in a way that does not require a Google account to access and use. In addition, we will often share such documents or Google Drive folders with you so that you have access at your fingertips. If you have questions, please refer to Google’s privacy policy. 


Wi-Fi
When you use the guest Wi-Fi at Rock Paper Scissors, we may collect data about your device, the volume of data you use, websites and applications you visit or access, and your usage by access time, location, and frequency.

PandaDoc
PandaDoc is our software for creating and sending proposals, sharing creative for approval, and collecting access to your digital assets. These documents are encrypted to provide extra security when sharing access to digital assets such as your website, domain, and other accounts. ZOOM: Meetings, Phone Calls + Text Messaging
We use ZOOM as our virtual meeting platform and phone system. As a standard practice, we record all meetings to have an additional level of documentation. This allows us to share the recordings and transcriptions with team members who may not be present for the call but would benefit from hearing portions of the conversation. Meeting attendees will receive an audible notification upon entry into the ZOOM meeting that a recording is being taken.

 
We are always happy to share these meeting recordings with you. Additionally, if there are any portions of the conversation that need to be kept confidential, we will redact that part of the conversation from the final recording. Meeting recordings are saved to a team member’s local device and/or the ZOOM cloud and then uploaded to either Google Drive or DropBox for storage.
 
Our phone calls through ZOOM are not automatically recorded, but we may from time to time ask to record a phone conversation for note-taking and documentation purposes. We will only proceed with recording a phone call upon your verbal consent. Once you have consented, we will start the recording, and you will hear an audible notification that the call is being recorded. We follow the same practices for saving recorded phone calls as we do with meeting recordings.
 
Each member of our team can send and receive text messages via the direct line listed in their email signature. By initiating a text message conversation with any member of our team or by electing to receive text messages from us through opt-in methods, including but not limited to website forms, mobile opt-ins, verbally, on paper, or through email, you are authorizing that we may contact you via text message through our ZOOM phone system. Texting is not our preferred method of communication, and we suggest limiting text messages for communications such as:
  • To notify us if you are running late for a meeting
  • To coordinate two-factor authentication codes for logins
 
We will only use text messaging to communicate with you and respond to your messages as appropriate during normal business hours. We will never share your phone number with any third-party services for marketing purposes. If at any time you no longer wish to communicate with us via text message, let your Project Lead know, and they will update our records for future reference, or you can opt out by following the instructions included in a prior text message.

NOTE: At this time, we do not use any SMS text marketing platforms. This privacy policy will be updated to reflect the use of such platforms if and when we implement them.

Our Commitment to Data Security

We are committed to preventing unauthorized access, maintaining data security, and ensuring the correct use of information. We have put the appropriate physical, electronic, and managerial procedures in place to safeguard and secure the information we collect online.

Accessing and Changing Your Personal Information

If you would like to update your information or request that your personal information be removed from our records, please send a request via email. If you have opted in to receive email communication from us and no longer wish to receive these emails, you may opt out at any time by clicking the Unsubscribe link at the bottom of the email.

If you are a California resident, you have the right to request access to, deletion of, or correction of the personal information we have collected about you, and the right to opt out of the sale or sharing of your personal information (note: we do not sell personal information).
